If you manage facilities across hundreds of locations, you know this scenario: a preventive maintenance (PM) visit is completed, and somewhere in the technician survey is a note that something is off. A repair quietly needed before it becomes an emergency. Nobody catches it -- not because the team is not paying attention, but because catching it at scale is not a human-speed problem.
"Somebody would literally have to go through hundreds, thousands of service requests (SRs) and review PDF documents," said Eric, a Vixxo operations professional who decided to do something about it. "The technician would notate something -- this equipment's not working -- and it wouldn't be captured by the team."
The downstream effect was measurable: compounding issues, missed proactive recommendations, and reactive repairs that could have been scheduled weeks earlier.
Eric did not wait for a formal solution. He started experimenting with general-purpose AI tools -- and hit the same wall most facilities professionals do. "I had tried to build something similar before, but it didn't have nearly as many capabilities," he said. "I would still have to download the PDFs individually and upload them. It was almost barely faster than just looking at them myself."
That manual gap -- one file at a time, no system connection -- is the difference between a promising idea and a working tool.
"No human is capable of reviewing hundreds of service requests in minutes. That's not a judgment on the team. That's just physics."
Vixxo has been investing in AI capability through structured internal training. After completing a hands-on development cohort and gaining access to additional tools, Eric rebuilt the PM audit from scratch -- this time connected directly to Vixxo's internal systems, including VixxoLink, the company's portfolio management platform.
Now a team member can tell the tool: audit every PM survey completed in the last 30 days for a specific client. The tool queries the system, pulls the surveys, reviews photos and technician notes, flags deficiencies, and produces both an internal operations summary and a client-ready recommendations report. It can also flag PMs completed without a corresponding survey -- a gap that previously required manual cross-referencing.

Facilities directors and VPs managing multi-site programs for grocery, QSR (quick-service restaurant), convenience, and retail operators already face a volume problem. PM programs generate enormous amounts of data -- and most of it never gets reviewed. Not because it lacks value, but because there is no scalable way to read it.
What Eric built is an early proof point of what changes when AI is connected to real operational data. The FM (facilities management) team's judgment stays central -- every finding is confirmed before it reaches a client -- but the volume problem and the missed-signal problem are no longer a function of headcount. "It allows us to review more, faster, and be better equipped to make recommendations and prevent downtime," he said.
Eric is the first to say the tool is a work in progress -- asset tracking, improved output formatting, and expanded client compatibility are all in flight. He is one of several Vixxo team members now building AI capabilities across operations, marketing, and account management.
