HVAC Repair & Preventive Maintenance

Commercial heating, ventilation, and air conditioning (HVAC) preventive maintenance (PM) keeps rooftop units (RTUs) ready before peak heat or the first cold open. This guide covers what a visit includes, how often to inspect, and how to schedule the work across grocery, convenience, and quick-service restaurant (QSR) sites.

What is included in a commercial HVAC preventative maintenance program?

A program is an asset list, a task list, a frequency, and a pass or fail record. It is not a note that says PM complete. ANSI/ASHRAE/ACCA Standard 180 sets minimum inspection and maintenance tasks so systems can hold thermal comfort, energy efficiency, and indoor air quality. For RTUs, that minimum includes a quarterly check for filter particulate, with cleaning or replacement as needed.

Retail, grocery, and QSR sites should build the visit around the failures that empty a store. Use the table as the scope. Tighten any row when runtime, grease, or dust is high. Standard 180 allows that adjustment. It does not allow skipping the minimum.

Task Cadence What good looks like
Filters Quarterly minimum; monthly in kitchens and high-dust sites Loaded filters replaced, not only noted
Coils and condensate Quarterly Coils clear; pans and drains flow; no standing water
Belts, bearings, amps Quarterly Wear checked; motor amps within nameplate range
Heat and cool proof Twice a year, before each season Unit reaches occupied setpoint, not just a mode change
Economizer and outdoor air Twice a year Dampers move; heating holds minimum outdoor air
Refrigerant When charge is in question Leak check before recharge; a refill is not the repair

What is the recommended frequency for commercial HVAC inspections?

Start with the Standard 180 minimum, then match the site. A clean sales-floor RTU can stay on a quarterly filter check. A QSR unit beside a fryer, or a convenience-store unit that runs nearly all day, should not. Seasonal proof is separate from the filter visit so heating and cooling are tested before the store depends on them.

Visit counts are the cadence, not a failure rate. Quarterly (4 visits) is the Standard 180 minimum for rooftop filter checks.

Own the outcome on critical maintenance and repairs that matter most to customer experience. A store that cannot hold temperature is lost dwell time.

How do you schedule recurring HVAC maintenance across multiple sites?

Schedule by asset and climate, not by one national week. Finish last season's failure sites first, then older RTUs, then the rest of that climate band. Northern and high-elevation stores move first for heating proof. Sun Belt stores move first for cooling proof.

Give every service provider the same tasks, photos, and pass or fail fields. Keep seasonal proof off the quarterly filter form so a summer filter change cannot stand in for a heating test. Completion only counts if it lands before the season starts.

What are common KPIs for HVAC service provider performance?

Key performance indicators (KPIs) should describe outcomes. Track PM completion before the seasonal deadline, same-asset repeat repairs within 90 days, time from a no-cool or no-heat request to a technician on site, the share of HVAC spend that is planned versus emergency, and quote cycle time tied to repair versus replace.

Use Vixxo Verify as total spend protection on parts, labor, trip charges, and junk fees. Invoice review should make the bill accurate. It should not treat service providers as the problem. They are the bench that has to run the same test in every market.

Frequently Asked Questions

What HVAC maintenance program fits QSR and fast-casual operators?

Kitchens load coils with grease and run RTUs for long hours. Use monthly filters, quarterly coil and drain cleaning, and a seasonal proof that dining and kitchen setpoints hold. Include make-up air and exhaust on the same visit. A dry-retail quarterly filter plan is too thin for a fryer line.

Who provides emergency HVAC repair for retail locations?

Coverage has to reach the site. Vixxo dispatches vetted service providers from a 150K+ network so a no-cool or no-heat event is owned through completion. A hot sales floor or a cold vestibule outranks a back-room comfort complaint.

Which providers specialize in HVAC for convenience stores and grocery stores?

Look for national reach, EPA Section 608-certified technicians, and separate scopes for comfort HVAC and refrigeration. Sales-floor RTUs are not display cases. Vixxo coordinates both for multi-site convenience and grocery portfolios, with the task list written to the asset.

What should HVAC maintenance tracking include?

Record the asset, the task, the cadence, the result, and the photos. The next visit should be assigned from that record at every site. A list of completed dates, without pass or fail, cannot show which RTUs will fail first.
